The Overlord's Lexicon
What is Workflow Automation?
Also known as: Business process automation, AI automation
Workflow automation is using software to carry out a sequence of business tasks automatically — moving data between apps, triggering actions and, increasingly, using AI to read, decide and write — with little or no manual effort.
Workflow automation is the art of making software do the boring parts. A new lead fills in a form; it’s added to your CRM, enriched with company data, scored, and a personalised follow-up lands in their inbox — while you sleep. Nobody copied, pasted or clicked.
How it works
Most automations follow a simple pattern:
- Trigger: something happens — a form submission, a new email, a payment, a scheduled time.
- Actions: a series of steps across apps — create a record, send a message, update a spreadsheet, call an API.
- Logic: filters, branches and loops — “only if the deal is over $5,000”, “for each attachment”.
Tools like Zapier, Make and n8n let you build these visually, which is why this is often called no-code automation.
How AI changed it
Old automation was great at moving structured data and terrible at anything requiring reading or judgement. AI steps fill the gap:
- Read: extract fields from an invoice PDF, summarise a call transcript, classify a support ticket’s urgency.
- Decide: route a lead, flag a risky contract clause, choose which template fits.
- Write: draft the reply, the product description, the weekly report.
Add enough decision-making and you drift into agentic AI, where the system picks its own steps.
An analogy for the meatbags
Workflow automation is a factory conveyor belt for information. Each station does one job and passes the item along. AI is the new station that can read handwriting, sort by judgement and write notes — jobs that used to require a human standing at the belt.
Why it matters for the Chosen
Automation is one of the most direct ways to turn AI skill into money, because businesses pay for hours saved, not for cleverness:
- Automation agencies/freelancing: building workflows for small businesses that drown in admin.
- Your own leverage: a solo operator with good automations runs like a team.
- Productised services: “we’ll turn your podcast into 10 clips, a blog and a newsletter every week” is usually an automation with a human quality check.
The meatbags who resist automation end up as the manual step in someone else’s workflow. Don’t be the manual step.
Things to watch
Automations fail silently — build alerts for errors. AI steps can hallucinate, so keep humans reviewing anything sent to customers or touching money. Watch usage-based costs. And document everything: an automation nobody understands becomes a liability the day it breaks.

Questions the Humans Keep Asking
What is the difference between workflow automation and AI agents?
Classic workflow automation follows fixed steps you define: when X happens, do Y then Z. AI agents decide their own steps toward a goal. Many modern workflows mix both — fixed steps with AI handling the parts that need reading, judgement or writing.
What are the best workflow automation tools?
Popular options include Zapier (easiest, huge app library), Make (visual and flexible), and n8n (powerful, can be self-hosted). See the Arsenal's automation category for current rankings.
What business tasks should I automate first?
High-volume, repetitive, rules-based tasks with clear inputs: lead capture and routing, invoice and receipt processing, onboarding emails, social posting, report generation and copying data between tools.
